Position summary:
The Student Services Clerk provides cheerful and professional direct service to students, faculty, visitors and staff.
Duties and responsibilities:
A. Reception and student service:
· Greet visitors promptly, courteously and professionally
· Ensure that reception and waiting areas are clean and comfortable
· Promote and maintain a warm, welcoming, friendly environment for all visitors
· Answer general inquiries in person and over the phone
· Demonstrate ability to assess student needs and advise placement with appropriate instructor or group program
· Answer calls promptly, courteously and professionally with appropriate greeting
· Provide information on programs and services
· Gather student feedback to ensure quality programming
B. Registration and payment processing
· Collect registrations for classes and lessons by phone, email, or in-person
· Process payments, send receipts and confirmations to students
· Enter student registration information into database
· Collect refund and credit requests and forward to Student Services Manager
· Maintain Cash Transaction Log
C. Faculty/student liaison services
· Notify students when classes are cancelled, rescheduled or other changes
· Notify faculty of class cancellations
· Act as liaison for messages between students and faculty
· Arrange consultations between potential students and faculty
· Track consultations and follow up with students and faculty
· Maintain consultation listing and follow up to ensure all potential students are contacted
· Ensure all communications concerning faculty and student matters are dealt with in a timely manner
· Maintain faculty teaching schedules
D. Set up and facility maintenance
· Set up classrooms and studios according to master schedule requirements
· Maintain all equipment inventory listings
· Clean instruments; check and maintain piano humidifiers
Qualifications and experience:
· Grade 12 education
· Ability to communicate in a respectful, articulate and professional manner
· Above average computer skills including Microsoft Office software, database programs
· Proven ability to provide exceptional customer service
· Proven keyboarding speed and accuracy in data entry
· Working knowledge of office equipment
· Proven ability to work effectively in a team environment
· Ability to multitask
· Willingness to learn new skills and adapt to new environments and challenges
· Ability to work independently and with minimal supervision
· Research skills; above average organizational skills
· Background in music an asset
Salary:
$16.00/hour
Hours:
Evenings/Saturdays (12-15 hours per week)
