The MCMA maintains the following policies which are noted at the bottom of every registration confirmation form.

Registrations will not be finalized until payment is received. Complete fees for the academic year must be paid in advance in full or with post-dated cheques (PDC), pre-authorized credit card (PACC), or pre-authorized debit withdrawal (PAD) on the first of each month. Overdue instalments, instalments that are declined and instalments returned as “NSF” will be subject to a $40 fee and lessons will be suspended until payment is made. It is solely the student’s responsibility to ensure that instalments are made. Please notify the Conservatory if there are changes to your plan.

A non-refundable annual registration fee of $40.00 is charged per student on each yearly registration for individual lessons.  This registration fee supports performance opportunities, workshops and other events for our students.

Students who choose to register for less than the full academic year must register for a block of minimum 10 lessons to reserve a specific class time in your teacher’s schedule. A $40 registration fee will be charged on the first lesson block.  If you choose to register for additional blocks of lessons over the same academic year each registration will include a $10 administration fee.

Absenteeism: No refunds will be issued for classes missed by the student. You are reserving a specific class time with a faculty member that is held for your convenience each week. Classes are paid for even if you are absent unless there are specially approved extenuating circumstances. In the case of a prolonged medical absence, with a Doctor’s note, you may withdraw from the schedule. Out of courtesy to the Faculty, we ask that you notify the Administration by e-mail or telephone if you are going to be absent.

Withdrawal Policy: Non-attendance does not constitute notice of withdrawal. Four lesson weeks written notice must be provided for withdrawal from individual classes. Tuition is payable for the duration of the four-week period whether the student attends the classes or not. A form is available from Student Services for the student or parents to fill out as notice of withdrawal. Registration and installment fees are non-refundable.

Two-Week Trial: If a new student is assigned by the MCMA to a Faculty member for individual classes, the student has the right to ask to be transferred to a different Faculty member within the first two weeks of classes with that Faculty member, or withdraw from classes without having to comply with the four week withdrawal notice period.  Notice of transfer or withdrawal within this trial period must be given in writing at least 48 hours before the next scheduled lesson. This right can be exercised only once per registered individual class in any Academic Year.

Refunds: Our registration deadline for Group Classes is one week prior to class starting date. Refunds will only be issued if a student withdraws prior to the registration deadline. Group Class refunds will be subject to a $25 administration fee.

Group Class Cancellation Policy: All Group Classes times and dates are subject to change by MCMA. In the event of a cancelled class students may be compensated in the form of a tuition credit or refund. Tuition credits may only be applied to Group Classes in the current or following academic year.

Photographs and Audio Recordings: Students may be photographed and/or recorded in individual classes, group classes and performances while on Conservatory premises and at Conservatory-related functions, for archival and promotional purposes.

Privacy Policy: The MCMA recognizes the importance of protecting the privacy of personal information collected about our students. This information is collected voluntarily and is used to process registration and fees, to administer classes and to allow the MCMA to provide notice of upcoming events and programs. We do not collect, use, or disclose personal information about our students without consent. We will not sell our student information to other organizations.

Terms Acceptance: Initial payment of tuition constitutes an agreement to the terms and policies of the Manitoba Conservatory of Music and Arts.
